what to expect on race day!

VOLUNTEER TIMELINE:

We are incredibly grateful for your time and commitment to help as every volunteer is critical on race day. You'll play an important role in providing a safe and fun race for all participants. To help plan your day, the below is an outline of your volunteer morning.

8/3/25 — VOLUNTEER LOCATION:

  • SOUTHAMPTON CULTURAL CENTER:
    25 Pond Ln, Southampton, NY 11968

  • Limit your belongings & don't bring valuables
  • Allow plenty of time to walk parking may be a few blocks away
  • Please arrive on time to allow the crew to stay on schedule

5:30 AM — VOLUNTEERS ARRIVE & CHECK-IN … [15 mins)

  • Report to the Gear Pick Up/Volunteer Tent

  • Sign in with a Volunteer Lead (Karen & Louis)
    Please tell us if you have mobility limitations

  • Sign Waiver (ink)

  • Select an Event Crew packet (hat, shirt, & jacket) in your Unisex size: S - 4XL

  • Change into your black Event Crew shirt & hat (portolets available)
    Ladies: consider a sports bra for a fast change

  • Write your name on your packet bag using a sharpie, secure your belongings inside, & store them underneath the Volunteer tent in provided containers

  • Wait next to the Volunteer tent for next steps (minors w/adult)

5:45 AM — ROLE ASSIGNMENTS  [5 mins]

  • Receive your assignment

  • Write your name on your lanyard with a sharpie

  • Read your job(s) & timeline

  • Break into your assigned group to meet your team

  • Wait at the Volunteer tent for next steps

5:50 AM — LET'S GO  [40 mins]

  • Report to your first station & dive in!
  • Try to have all set up complete with trash removed before racers arrive
  • As your job timeline progresses, decide as a team who will work on each task
  • Reference your lanyard & event map to guide you throughout the event

  • Have questions? Ask Karen or Louis at the Gear tent

  • Help us cheer for racers!
    The Gear/Volunteer tent has a bin with cow bells, pompoms, megaphones, & flare!

6:20 AM — Take A Break  [40 mins]

  • All stations set up is complete with trash removed

  • ​Great time for a quick break!

​

6:30 AM — It's Show Time!

  • Event opens/Racers begin to arrive

8:15 AM — Opening Ceremony

  • A great time to cheer

​

8:30 AM — Race Begins

  • Race begins

  • Grab cowbells, pompoms, kazoos, megaphones to cheer on racers!

  • When possible, cheer for racers as they cross the finish

​

8:15 AM — Award Ceremony

  • A great time to cheer

 

10:30 AM — Event wraps

  • Clean up begins

  • Report to volunteer tent for instructions & tasks

​

11:00 AM — Volunteer Checkout

  • Thank you!… volunteers leave

  • If possible, stay longer to help with clean up if needed
